MedAutoFill — Frequently Asked Questions

Getting Started

How do I install MedAutoFill on my browser?

MedAutoFill is a Chrome extension. Visit the Chrome Web Store, search for "MedAutoFill by Donbrico," and click "Add to Chrome." Once installed, you'll see the MedAutoFill icon in your browser toolbar, and you can open the setup guide to begin creating your first patient profile.

What do I need to do after installing MedAutoFill for the first time?

After installation, open the MedAutoFill extension panel and click "New Profile" to enter your first patient's demographics, insurance details, and provider information. You can also configure your BYOK (Bring Your Own Key) AI settings for complex fields. No account registration is required—your data stays local from the start.

Does MedAutoFill work with my specific EHR or insurance portal?

MedAutoFill is designed to work across a wide range of EHR systems, insurance portals, and medical office software. If you encounter a form or field it doesn't recognize, you can use the "Smart Field Detection" training tool to teach it the new layout. Most users find it works out of the box with major platforms like Epic, Cerner, and Practice Fusion.

Can I use MedAutoFill immediately, or is there a learning curve?

You can start auto-filling forms within minutes. The extension comes with pre-configured templates for common fields like patient name, date of birth, and insurance ID. The learning curve is minimal—most administrative staff are productive after filling their first two or three test forms.

Features & Usage

How does MedAutoFill handle complex or non-standard form fields?

MedAutoFill uses two layers: a rule-based engine for standard fields (name, DOB, insurance ID) and a BYOK AI layer for complex fields like "chief complaint" or "prior authorization notes." You can connect your own OpenAI API key to enable AI-powered suggestions, or stick with the built-in field detection for manual data entry.

Can I save multiple patient profiles in MedAutoFill?

Yes, MedAutoFill supports multiple patient profiles. You can create, edit, and switch between profiles from the extension panel. This is especially useful for medical billers and coders who handle dozens of patients per day—just select the correct profile before auto-filling a form.

How does the Smart Field Detection feature work?

When you click on a form field, MedAutoFill scans the page for labels, placeholder text, and nearby HTML elements to identify what the field is asking for (e.g., "Insurance Group Number" or "Referring Provider NPI"). It then maps that field to the correct data in your selected patient profile. If the field isn't recognized, you can manually assign it once, and MedAutoFill remembers the mapping for future forms.

Will MedAutoFill work on multi-page forms and wizards?

Yes, MedAutoFill is designed to handle multi-page forms and step-by-step wizards. As you move to the next page, the extension automatically detects and fills the relevant fields based on your active patient profile. You don't need to re-select the profile or re-trigger the fill.

Can I use MedAutoFill for both patient demographics and clinical fields?

Absolutely. MedAutoFill covers patient demographics (name, address, contact info), insurance information (carrier, policy number, group number), provider details (NPI, taxonomy, referring physician), and clinical fields (diagnosis codes, chief complaint, medication list). You can customize which fields to include in each profile.

Privacy & Security

Where is my patient data stored when I use MedAutoFill?

All patient data you enter into MedAutoFill is stored locally on your device using browser storage. Nothing is uploaded to Donbrico's servers or any third-party cloud. Your data never leaves your computer unless you explicitly connect a BYOK AI service.

Is MedAutoFill HIPAA-compliant?

MedAutoFill is designed with a privacy-first architecture that supports HIPAA compliance. Because all data stays local on your device, there is no data transmission to Donbrico's servers. For the BYOK AI feature, you control the API key and can choose a HIPAA-compliant provider like OpenAI's enterprise tier. We recommend consulting your organization's compliance officer for your specific workflow.

What happens if I use the BYOK AI feature—does my data get sent to OpenAI?

When you enable BYOK AI and connect your own API key, the data from the specific field you're filling (e.g., a clinical note) is sent to the AI provider you've configured. Standard fields like patient name and DOB are never sent to the AI. You can also disable the AI feature entirely and use MedAutoFill's rule-based filling only.

Can my employer or clinic see what data I'm entering into MedAutoFill?

No. MedAutoFill stores data locally in your browser's storage, which is sandboxed from other applications and extensions. Your employer cannot access your MedAutoFill data unless they have direct access to your device. For shared workstations, we recommend using the "Clear Profiles" option after each session.

Pricing & Licensing

Is MedAutoFill free to use, or is there a premium version?

MedAutoFill offers a free tier with support for up to 5 patient profiles and standard field detection. The premium version unlocks unlimited patient profiles, advanced field mapping, and BYOK AI integration. Check the Donbrico website for current pricing and any volume discounts for clinics or billing teams.

Can I use one MedAutoFill license across multiple devices or with my team?

Licenses are tied to individual Chrome profiles. For team use, each user needs their own license. Donbrico offers team and enterprise pricing for clinics and billing agencies—contact sales through the website for custom plans.

Is there a free trial for the premium features?

Yes, MedAutoFill offers a 14-day free trial of the premium features, including unlimited profiles and BYOK AI. No credit card is required to start the trial. At the end of the trial, you can choose to subscribe or continue with the free tier.

Troubleshooting

MedAutoFill isn't filling a field on my form—what should I do?

First, make sure you've selected the correct patient profile. Then, click on the unfilled field and check if the MedAutoFill icon appears. If it doesn't, the field may use non-standard HTML. Use the "Teach Field" option in the extension to manually map it to the correct data point. After teaching it once, MedAutoFill will remember the mapping for that form.

The extension icon is grayed out on some websites—why?

MedAutoFill is designed to activate only on medical and healthcare form pages. If the icon is grayed out, the extension doesn't recognize the page as a compatible form. You can manually enable it by right-clicking the icon and selecting "Enable on this site." If the site still doesn't work, it may use unsupported technologies like iframes or Java applets.

I accidentally deleted a patient profile—can I recover it?

Unfortunately, deleted profiles cannot be recovered from within MedAutoFill, as all data is stored locally with no cloud backup. We recommend exporting your profiles periodically using the "Export Profiles" feature in the settings panel, which saves them as a JSON file you can re-import later.

MedAutoFill is filling the wrong data into certain fields—how do I fix this?

This usually happens when a field is misidentified by the Smart Field Detection. Open the MedAutoFill panel, navigate to "Field Mappings," and find the problematic field. Reassign it to the correct data point from your patient profile. Alternatively, you can clear all field mappings for that form and start fresh by selecting "Reset Form Training."

Does MedAutoFill work offline?

MedAutoFill works offline for rule-based filling and stored patient profiles. The BYOK AI feature requires an internet connection to communicate with the AI provider. For most standard forms, you can work without internet access—just ensure you've loaded your profiles while online.
