How do I install RecruitReply AI?

Do I need an API key to use RecruitReply AI?

Yes, unless you use the on-device Gemini Nano mode. You can bring your own API key from OpenAI, Anthropic, or Google Gemini. RecruitReply AI stores this key locally in your browser — it never sends your key to our servers. For the most private setup, enable Gemini Nano in Chrome, which runs entirely on your device with no external API calls.

Can I use RecruitReply AI on LinkedIn Recruiter right away?

Yes. Once installed, RecruitReply AI automatically activates on LinkedIn Recruiter pages. You'll see a small "Draft with AI" button appear next to message fields. No additional configuration is needed beyond your initial profile setup. It also works natively on Greenhouse, Lever, and Workday.

How do I set up my recruiter profile in RecruitReply AI?

Open the RecruitReply AI dashboard from your browser toolbar. In the "Profile" tab, fill in your name, title, company, and optionally add your email signature, salary range, and key benefits. This information is used to personalize every draft — so candidates see accurate details about the role and your company.

How do I generate a candidate outreach message?

Navigate to a candidate's profile on LinkedIn Recruiter, click the message field, then click the RecruitReply AI icon. Select "Outreach – First Contact" from the scenario list, choose a tone (e.g., Warm or Professional), and hit "Generate." The AI will pull in the candidate's name, role, and your profile details to create a draft you can edit or send.

Can I customize the tone of my messages?

Yes. RecruitReply AI offers seven tones: Professional, Warm, Direct, Enthusiastic, Empathetic, Executive, and Casual. You can switch tones per message or set a default in your profile. For example, use Enthusiastic for early-stage outreach and Empathetic for rejection messages.

Does RecruitReply AI work with ATS platforms like Greenhouse?

Yes. RecruitReply AI works natively on Greenhouse, Lever, and Workday. When you're composing a message inside these ATS platforms, the extension detects the message field and offers the same scenario and tone options. It behaves identically to how it works on LinkedIn Recruiter.

Can I save and reuse my own message templates?

Absolutely. RecruitReply AI includes a Saved Reply library where you can store your own templates with smart variables like {{candidate_name}}, {{role_title}}, and {{company}}. When you load a saved reply, the variables are automatically replaced with the correct values from the candidate's profile or ATS entry.

Will RecruitReply AI ever send a message automatically?

No. RecruitReply AI is a draft-only tool. It generates the text and places it in the message field, but you must click "Send" yourself. This gives you full control to review, edit, or discard every message before it goes out.

Where is my API key stored?

Your API key is stored locally in your browser's extension storage. RecruitReply AI never sends your key to our servers. If you use the on-device Gemini Nano mode, no API key is needed at all — everything runs inside your browser.

Does RecruitReply AI store my candidate data or messages?

No. RecruitReply AI processes candidate data in real time within your browser. The extension reads the visible page content (candidate name, role, company) to generate the draft, but it does not log, store, or transmit that data anywhere. Once you close the extension or navigate away, that data is gone.

Is RecruitReply AI safe to use with sensitive hiring data?

Yes. Because RecruitReply AI uses on-device processing (Gemini Nano) or your own API key with a direct call from your browser, your data never passes through a third-party server. This makes it suitable for companies with strict data privacy policies, including those in regulated industries.

Can my employer see that I'm using RecruitReply AI?

RecruitReply AI runs as a browser extension on your local machine. It does not report usage or send analytics to any server. Your employer might see the extension installed in your browser, but the extension itself does not log or share your activity.

Troubleshooting

RecruitReply AI isn't showing up on LinkedIn Recruiter — what should I do?

First, make sure the extension is installed and pinned in your browser toolbar. Refresh the LinkedIn Recruiter page. If it still doesn't appear, check that you're on a supported page (candidate profile or message thread). Sometimes a full browser restart resolves the issue. If not, reinstall the extension.

The generated message looks generic or wrong — how do I fix it?

Check your recruiter profile in the RecruitReply AI dashboard. If your company name, title, or benefits are blank, the AI has no context to personalize the draft. Also, try switching to a different tone or scenario. For example, "Follow-up – No Response" will produce a different message than "Outreach – First Contact."

I get an error when using my own API key — what's wrong?

Verify that your API key is correct and has not expired. If you're using OpenAI, make sure your account has available credits. For Google Gemini, confirm the API is enabled in your Google Cloud console. RecruitReply AI does not modify or test your key — it passes it directly to the provider.

RecruitReply AI works on LinkedIn but not in my ATS (Greenhouse/Lever/Workday) — why?

Ensure you are on a supported page within the ATS (e.g., the candidate profile or message composer). Some ATS platforms load message fields dynamically. Try clicking into the message field first, then look for the RecruitReply AI icon. If it still doesn't appear, refresh the page or contact support with your ATS version details.

How do I uninstall RecruitReply AI?

Right-click the extension icon in your browser toolbar and select "Remove from Chrome" (or your browser's equivalent). This will delete all locally stored data, including your API key and saved replies. If you reinstall later, you'll need to set up your profile again.
