Do I need an API key to start using RecruitReply AI?

No, not immediately. RecruitReply AI offers a built-in on-device mode using Gemini Nano, which works without any external keys. If you prefer to use a more powerful model, you can bring your own API key from OpenAI, Anthropic, or Google Gemini. You can switch between modes at any time in the settings.

What platforms does RecruitReply AI work on out of the box?

RecruitReply AI is designed to work natively on LinkedIn Recruiter, Greenhouse, Lever, and Workday. When you open a candidate profile or a message field on any of these platforms, the extension automatically detects the context and offers to generate a draft.

How do I set up my recruiter profile for the first time?

Open the RecruitReply AI extension panel and click “Profile.” Fill in your company name, role title, salary range, common benefits, and an email signature. This information is stored locally and used to personalize every draft. You can update these details anytime.

Can I use RecruitReply AI for rejection messages and offer letters?

Yes. RecruitReply AI includes 22 specific messaging scenarios, including rejection notices, offer extensions, and interview scheduling. Select the scenario from the dropdown before generating, and the AI will tailor the tone and structure accordingly.

How do I insert candidate details like name or role title into a message?

Use smart variables such as {{candidate_name}} or {{role_title}} inside your saved reply templates. When you generate a draft, RecruitReply AI automatically replaces these placeholders with actual data from the candidate profile or ATS record. You can also edit these variables manually.

What are the seven tone options, and when should I use each?

The tones are Professional, Warm, Direct, Enthusiastic, Empathetic, Executive, and Casual. For initial outreach to passive candidates, Warm or Enthusiastic often works best. For rejection messages, Empathetic is recommended. Executive suits C-level outreach. You can switch tones with one click before generating.

Does RecruitReply AI auto-send messages?

No. RecruitReply AI is a draft-only tool. It generates the message text and places it into the message field on LinkedIn or your ATS, but it never clicks send. You always review and manually send the message. This gives you full control over every communication.

Can I save my own reply templates and reuse them?

Yes. The Saved Reply Library lets you store custom templates with smart variables. You can organize them by scenario (e.g., “Initial Outreach – Tech Roles”). When you need a message, select the template, and RecruitReply AI will populate it with the current candidate’s details.

Privacy & Security

Where is my API key stored, and who can access it?

Your API key is stored locally in your browser using the extension’s storage API. It never leaves your device and is not sent to Donbrico’s servers. You can delete or change the key at any time from the settings panel.

Does RecruitReply AI send my candidate data to an external server?

When using on-device Gemini Nano mode, all data processing happens locally on your machine — nothing is sent externally. If you use a BYOK model (OpenAI, Anthropic, or Google Gemini), the candidate data is sent to that provider’s API endpoint to generate the draft, but it is not stored or logged by Donbrico.

Is RecruitReply AI compliant with GDPR and other privacy regulations?

The on-device mode is inherently GDPR-friendly since no data leaves your device. For BYOK usage, you are responsible for ensuring your chosen provider’s terms align with your compliance needs. RecruitReply AI does not log, cache, or store any candidate data on its own infrastructure.

Can I use RecruitReply AI without an internet connection?

On-device Gemini Nano mode requires an initial download of the AI model but can then generate drafts offline for basic scenarios. BYOK modes require an active internet connection to reach the API provider. For full functionality, including ATS integration, we recommend a stable connection.

Is there a free version of RecruitReply AI?

RecruitReply AI offers a limited free tier that includes the on-device Gemini Nano mode and up to 10 draft generations per month. For unlimited access to all 22 scenarios, 7 tones, and BYOK support, you need a paid subscription. Pricing starts at a monthly or annual rate listed on the product page.

What payment methods do you accept?

We accept major credit and debit cards (Visa, Mastercard, American Express) as well as PayPal. Enterprise customers can request invoicing for annual plans by contacting our support team. All payments are processed securely through Stripe.

Can I get a refund if RecruitReply AI doesn’t work for me?

Troubleshooting

RecruitReply AI isn’t appearing on LinkedIn Recruiter — what should I check?

First, ensure the extension is enabled and pinned in your browser toolbar. Then refresh the LinkedIn Recruiter page completely. If it still doesn’t appear, try disabling and re-enabling the extension. Also verify that you’re logged into the extension with the email associated with your active license.

The draft generation is taking too long or fails entirely.

This usually indicates a network issue or an API key problem. If using BYOK, check that your key is valid and has not exceeded its rate limit. If using on-device mode, ensure your browser supports WebGPU (Chrome 113+). Restarting the browser often resolves temporary glitches.

Saved templates or profile data disappeared after a browser update.

Browser updates can sometimes clear extension storage. To prevent this, regularly export your saved replies and profile from the extension’s settings menu (look for an “Export” button). After an update, you can import the file to restore everything quickly.

The AI is generating messages that don’t match my selected tone.

Double-check that you’ve clicked “Apply Tone” after selecting it from the dropdown — some users skip this step. Also confirm that your recruiter profile is fully filled out, as missing details can cause the AI to default to a generic style. If the issue persists, try switching to a different AI model in settings.
